GENERAL
Q. How do I change the language on my screen?
A. In the upper right-hand corner of the Anonima screen is a button that allows you to toggle between languages. The system remembers what language you have set, and that language will be displayed the next time you login.
Q. I’m not receiving a separate email containing the internal whistleblowing recipient’s access key.
A. The access key is sent only to the email address of the internal whistleblowing recipient registered at the start of each whistleblowing thread.
If you are the initial internal whistleblowing recipient and you have not received an access key, please display all emails and search for a message from info@anonima.net with the subject “Anonima: Whistleblowing Access Key.”
LOGIN
Q. The login screen doesn’t appear.
A. You may be using devices or apps other than the ones recommended. Please check that you are using the recommended environment.
Note: If you are using Microsoft Edge, please be sure you are using the latest version (https://www.microsoft.com/en-us/edge).
Recommended browsers
The latest version of one of the most common browsers (such as Chrome, Firefox, Edge, or Safari)

Access via smartphone
We recommend the following.
OS: The latest version of Android or iOS version 13.x.x or higher
Screen size: 4.7 inches or larger
Q. The Company sent me an invitation, but I am unable to Login from the Anonima top page.
A. When you access Anonima for the first time, use the URL indicated in the invitation. After that initial access, the next time you will be able to Login from the Anonima top page.
Q. The one-time password has not arrived.
A. Usually, you will receive the one-time password a few seconds after entering your mobile phone number and clicking on the login button. If you do not receive the password within one minute, try re-entering your mobile phone number and checking again.
Also, please click on the "Send New OPT" link that will appear under the confirm button to receive the one-time password.
Q. How much time do I have to enter the one-time password?
A. You need to enter the one-time password within three minutes.
Q. After I login, how much time do I have before the session times out?
A. The session stays open until you logout.
Notes: Session cookies remain valid for 90 days.
Q. I want to login as an administrator, but I’m being asked to enter my private mobile phone number.
A.
Access via PC browser
When you attempt to log in from the top page, you will be shown the login screen for regular users. In the space for entering your private mobile phone number, start entering your email address, and you will be directed to the admin login.
Access via smartphone or email address beginning with a numeral
From the login screen, navigate to the bottom of the screen and click on the admin login button. This will direct you to the admin login screen.
BLOW WHISTLE
Q. Is it possible to receive email notification of a response to a Blow Whistle post?
A. For security reasons, no information is stored on the server that could be used to identify a user. Accordingly, there is no way for notifications to be sent to an individual user from the Anonima system. After you have posted, please login to Anonima periodically to see if there are any new messages.
Q. After logging in as a whistleblowing recipient, when I click on the “Anonima” at the upper left of the Blow Whistle page I am always asked to enter the access key.
A. As access keys are not stored, for security reasons you are being asked to enter the access key again.
BE HEARD
Q. After I have created a group, how can I edit the details (group name, explanation of tags, thank you message)?
A. The details cannot be revised once a group has been created.
Q. How can I delete a group that has been created?
A. Groups cannot be deleted once they have been created.
Q. I receive an invitation to Be Heard. Can I trust it?
A. Check that the sender is an employee who belongs to your company. You can also check to see that the URL in the invitation begins with the text below. If so, there is no problem.

Q. I am logged in as a feedback recipient, but I cannot create a new group.
A. Feedback recipients are not allowed to create new groups.
Q. I received an invitation and logged in as a feedback recipient, but nothing is shown under Be Heard.
A. If a Be Heard comment is created, and you are designed as a recipient, you will be shown in the thread.
Q. I am logged in as company admin user. Where do I create feedback recipients?
A. Go to Manage company > Administrator > Administrator to create an administrator, select feedback recipients from the pull-down menu, and fill in the required fields.
Q. I created a Be Heard group as company admin user. How can I create invitations to Be Heard?
A. To select Be Heard recipients yourself, in the Be Heard group go to “Feedback threads” > “Invitation.” Another admin user can select Be Heard recipients by sending out invitations from “Invitation” within the Be Heard group.
SURVEYS
Q. Once I have sent off a survey, is it possible to change my response and resend the survey?
A. Once you have sent your response, you cannot revise and resend it.
Q. Surveys that have been sent are still shown on my screen. How can I delete them?
A. At present, they cannot be deleted. Once all responses to a survey have been received, they are no longer shown.
Q. My survey disappeared. What do I do?
A. Once all responses to a survey have been received, the survey is no longer shown.
Q. What are rewards?
A. Rewards are prizes given out of survey respondents who win a lottery. Company admin users can set and prepare prizes to be awarded.
MANAGE COMPANY
Q. What happens if I execute “Reset password” within “Admin?”
A. The admin password will be reset, and a new password will be sent to the registered email address.
Q. Can I change my admin password to a character string of my preference?
A. For security reasons, you cannot change the password yourself.
Q. Does “Invite admin user” mean increasing the number of company admin users?
A. Yes. Admin user refers to both a company admin user and a feedback recipient. To add whistleblowing receiver users, please contact info@anonima.net.
Q. When setting a new admin user, can I not check the text that will be sent to the recipient?
A. For security reasons, the following text is sent as an invitation to Anonima, along with an automatically generated password.
